Collection of your personal information on www.staffvetting.com

Staffvetting.com may collect personally identifiable information, such as your e-mail address, name, home or work address or telephone number when you submit one of our online forms which require consent before usage. Staffvetting.com may also collect anonymous demographic information, which is not unique to you, such as your postcode, age, gender, preferences, interests and favourites.

There is also information about your computer hardware and software that may be automatically collected by Staffvetting.com when completing an application form. This information is used by Staffvetting.com for the operation of the service, to maintain quality of the service, and to provide general statistics regarding use of the Staffvetting.com website.

Information submitted to us using one of the publicly available forms on our website is automatically deleted within a week of being submitted. Information submitted to us via https://vetter.staffvetting.com, as part of a screening application, is deleted according to the anonymisation and deletion rules for the screening type in question and our internal data protection policy.

Please keep in mind that if you directly disclose personally identifiable information or personally sensitive data through Staffvetting.com public message boards, this information may be collected and used by others. Note Staffvetting.com does not read any of your private online communications or share your information to any third party unless required to do so by law or as part of a screening check you have consented to.

Staffvetting.com collects certain diagnostic data for analytics purposes using Google Tag Manager. We collect this as part of our advertising campaigns and helps us manage the performance of our website. As stated by Google, “This data does not include user IP addresses or any measurement identifiers associated with a particular individual. Other than data in standard HTTP request logs, all of which is deleted within 14 days of being received, and diagnostics data noted above, Google Tag Manager does not collect, retain, or share any information about visitors to our customers’ properties, including page URLs visited.”

Collection and use of your personal information for background screening purposes on www.staffvetting.com and https://vetter.staffvetting.com and Access Group Systems.

As part of the background screening obligation which your consent is required, our organisation collects a range of information about you. This includes the following depending on the level of background screening:

  • Your identification information including gender, full names(s), nationality, place and date of birth, any previous names;
  • Your national insurance number;
  • Contact details including phone numbers and email addresses;
  • Your right to work information in the UK;
  • Your current address and 3, 5 or 10 year address history;
  • Copies of your identification documentation in relevant combinations in order to meet background screening checks criteria example driving licence, passport, birth certificate, utility bills, bank statements, PAYE and HMRC records;
  • If applicable to the screening service, your career history including employer and previous employment details, education etc.
  • Names and contact details of referees;
  • Educational details including educational establishment/s, qualifications and grades;
  • Where applicable payment transaction details for invoicing purposes.

We fully comply with GDPR and do not intentionally collect any of the following ‘special categories of personal data’ as referred to within GDPR:

  • race;
  • ethnic origin;
  • political opinions;
  • religious or philosophical beliefs;
  • trade union membership;
  • genetic data;
  • biometric data (where this is used for identification purposes);
  • health data;
  • sex life; or
  • sexual orientation.

Categories of data subject are in most cases but limited to the following: customer employees, interviewees, volunteers, contractors, self employed and unemployed.

Data may also be submitted to us for processing by the company or organisation acting as the Data Controller, only after you have given them permission or consent to share your data.

By submitting your personal data, you agree to such transfer and processing of your data. Your data will be treated securely and in accordance with this privacy policy. All information you provide to us will be stored in a range of different secure vetting systems applicable to the type of service we have been engaged to provide, on secure internal IT and within secure filing cabinets.

Duration of data processing will be limited to the purpose of the background screening check and customer contract requirements. Data will be removed when no longer required for the purpose of the work request.

In order to process an application we may need to supply some of an Applicant’s personal information to third-party service providers including, but not limited to, 192.com, Owens Online and TransUnion International UK Limited and Dropbox.com (if acceptable). These third-parties may use that personal information to provide services to us for the purposes of completing a background screening check on behalf of an Applicant’s Sponsor.

Use of your personal information

Staffvetting.com collects and uses your personal information to operate the Staffvetting.com website and deliver the services you have requested. Staffvetting.com with consent uses your personally identifiable information to inform you of other products or services available from Staffvetting.com and its affiliates. Staffvetting.com may, with consent, contact you via surveys to conduct research about your opinion of current services or of potential new services that may be offered.
